EchoVideo provides a flexible, policy-driven framework for managing copyright and licensing. While the system includes standard global licences, the Additional Licences feature allows administrators to define custom licence types tailored to specific institutional requirements, legal agreements, or statutory mandates such as Section 113P of the Australian Copyright Act 1968.
This guide covers how to create and manage these custom licences to ensure your institution's media library remains compliant with local and organizational policies.
Accessing Additional Licences
To manage custom licences, you must be logged in as an EchoVideo Administrator.
Click the Settings icon in the top-right corner.
Select Institution Settings.
On the left-hand menu, ensure General is selected.
Click the Copyright Policies tab.
Select the Additional Licences sub-tab.
Adding a New Licence
Creating a custom licence allows you to define specific licence text that instructors and staff must adhere to when applying that licence to their media.
Navigate to the Additional Licences tab.
Click Add New Licence.
In the modal that appears, enter a Name for the licence (e.g., 113p Statutory Licence). This name is what users will see in the licence selection dropdown during upload or in Media Details.
Define the licence in the provided text area. This should include the legal or institutional requirements associated with the licence.
Click Create. The new licence is immediately added and becomes available for use.
Managing Existing Licences
Each licence includes a Management Sub-Menu (represented by three vertical dots) on the right side of the row.
This menu provides the following actions:
View
Select View to open a read-only summary of the licence. This allows you to review the defined text without risk of accidental modification.
Edit
Select Edit to modify the Name or the text of an existing licence.
Impact: Any changes made to an existing licence are applied globally. All media currently associated with that licence will reflect the updated name or text in the Media Details and player interface.
Duplicate
Select Duplicate to create a new licence based on the configuration of an existing one. This is highly effective for managing complex, multi-phase policies (e.g., creating a "113p - Phase B" variant based on an existing "Phase A" policy) without re-entering all text from scratch.
Delete
Select Delete to permanently remove a custom licence from the institution.
Restriction: A licence cannot be deleted if its status is In Use. You must first reassign a different licence to all affected media or remove the licence association before the Delete option becomes active.
