DUAA Manager Functionality
The workflow described in this section applies to each DUAA manager granted rights to create and manage users for a specific property (e.g., franchise, store, region, affiliate, location).
At present, each property can be associated with only one email address.
At a glance, once logged into the Distributed User Management App, property managers can
- Can create for specific property/store only
- Benefit from a super-simple workflow
- Easily edit and disable accounts
- Assign attributes to users (jobs, locations, departments, …) to help manage access to content and assignment rules.
As an admin superuser, I can use a single account to access any property and act as that property's manager to create users. Multiple managers can create/manage users for a single property.
Create User Interface
A DUAA manager can create new users. All users created in the app are then passed into Inkling. When a manager creates a new user in DUAA, the new user can optionally receive a confirmation email that their profile has been created.
Users created will be automatically associated to the property of the manager who created the account, and with the attributes of that property, if any. For example, if a manager from store XYZ creates a user, that user is automatically associated to store XYZ.
The user attributes (circled in green above) will vary for each customer’s app instance. These are configured during the setup process for a customer’s instance of the app and can be changed upon request.
Username
When creating a user, the username is automatically generated by the app:
- First initial + Last name + property ID/name; e.g., for user Bob Smith:
- If the property ID is 123, username is bsmith123
- If the property ID is New York City, username is bsmithnewyorkcity
Default Password
A default user password is created for all users to access EchoInk. The default password is configured during the customer’s instance of the app's setup process and can be changed upon request.
This default password is provided in the app confirmation screen upon successful user creation
Prior to creating and submitting users to EchoInk, the app presents a list of users ready to be created to allow editing prior to submission:
Upon Submitting Users to EchoInk / Habitat:
The confirmation screen for created users is displayed. This screen can be downloaded as a PDF for future reference. Sample confirmation screen:
New users are created process via SFTP to Habitat at :15 and :45-hour marks.
Edit User Interface
The store manager can use DUAA to Edit Users that are in their store.
When editing a user, the store admin can only change user attributes set when the user was initially created, such as First / Last name, Email, Role / Title, or Division.
Upon saving changes, the updated user record will be posted via CSV to EchoInk.
Once this file is processed successfully by EchoInk, the updates will be reflected there.

Activate / Deactivate User Interface
The store manager can use DUAA to change the status of an existing user who is in their store / property. Users are either Active or Inactive.
Search for a learner and change the status from Activated to Deactivated. The search interface allows a manager to select multiple users at once and perform a status change.
Changes are reflected in Inkling only after the CSV is posted.
User status changes process via SFTP to Habitat at :00 and :30-hour marks. Admins can additionally edit the properties in their organization via a bulk upload. Property and user tables for their organization can also be exported.
Local Admin Log In
Local Admin Forgot Password Self-Service
If a store manager has forgotten their DUAA password, they can use the Forgot Password functionality on the DUAA login page.
This functionality requires that the manager have a valid email address associated with the property / store in DUAA.
Super Admin Functionality
A specific DUAA user can have Admin View privileges. This type of Admin View user can:
- Add Properties
- Unlock DUAA Manager Accounts
- Activate / Deactivate Properties
Super Admin Access
Add Properties
DUAA super admin can add a new account / property for the DUAA app. Adding properties is done via CSV bulk upload.
In the Create Properties interface, a sample CSV template is available for download to ensure the admin populates the properties in the correct format with the proper headers. This CSV template is configured specifically for each customer based on the initial configuration when the customer instance is stood up.
Unlock Account
The DUAA Super Admin can unlock a DUAA user account. This is used if the DUAA store manager has entered a password incorrectly too many times and is locked out of DUAA.
The admin will search for the manager's username in question, then select the options to unlock their account.
The DUAA Store Manager will then be able to use the Forgot Password functionality to reset their password and regain access to the app.
This feature does not unlock accounts or reset passwords in the Inkling/Habitat application. See the Inkling end-user documentation, in particular the end-user password reset.
Activate / Deactivate Properties
If a property is no longer active and using the DUAA app, the super admin can deactivate that property/account altogether. That store manager will then no longer be able to log in.
An admin will use the Activate / Deactivate Properties interface to change the status of an existing property from Active to Deactivated. The admin searches for the property to change its status, then selects it and changes the status accordingly.
