To get set up to manage users with a CSV file, work with your Inkling representative to complete these steps:
If your organization also uses SSO, be sure to thoroughly check the information Inkling receives. Discrepancies between information sent with SSO and uploaded with the CSV File Import can cause data and reporting issues in Inkling.
- Locate the person in your company who administers your organization’s identity management or HRIS system.
This administrator will be familiar with the system and processes used to manage users for external applications. - Decide which fields in your identity management or HRIS system you will map to the CSV file.
Work with your administrator and Inkling representative to ensure that the data you pass to Inkling is complete. - Confirm that your CSV file includes all the user data required for your organization’s specific requirements.
- Confirm whether you need to send a supplemental CSV file for user creation when using SSO. Depending on your SSO implementation with Inkling, you may not need to create and submit a supplemental CSV file to add user data. See Add users with SAML 2.0 SSO.
- If you plan to set distribution rules for user groups, decide which custom fields you will include.
Ensure the data provides the appropriate level of granularity to configure your desired rules. You also use distribution rules to publish translated content. See Configure the CSV file for translated content. - Decide how you will submit the CSV file to Inkling.
You can automatically import the file via SFTP or submit it to your Inkling representative via other methods. - Create a temporary password for your users.
Users that you create with a CSV file generally do not need this password to complete the initial registration process, unless there are issues with their registration. - Create an email for specific users containing their login credentials.
