Once you have created and published a course or curriculum, the next step is to assign it to users. Users who have been assigned a course or curriculum will see it listed under the Training tab as an Active Course or Curriculum.
To assign a course or curriculum, you will need to create an Assignment Rule. Creating an Assignment Rule allows you to:
- Define the users that will be assigned to your course or curriculum: This can be a specific Audience you have already created, or use custom criteria such as a user's department, email address, or name.
- Set assignment logic: Assignment logic allows you to choose when and how your course or curriculum will be assigned to new and existing users.
- Set a due date for your course or curriculum: This step is optional.
Assignment Rules allow you to automatically assign courses or curricula to users in your organization. As new users meet the criteria for a rule, they will be assigned courses from that rule.
Create an Assignment Rule
- Log in to Habitat and go to the Courses tab.
- Click on the Assignment Rules tab.
- Click Create new ruleset.

Create a name for the rule (i.e., New Hire Onboarding). You can add a rule description for more context.
Step One: Define User Groups
The first step to creating an Assignment Rule is choosing the users in your organization that will be assigned courses via the rule. You can define these user groups by selecting an existing Audience or using custom rules.
Custom rules include additional conditions that users can filter and select by, such as department, job title, product, region, etc.
Step Two: Set Assignment Logic
With Assignment Logic, you can set how and when users will be assigned to your courses or curriculum. This also includes the option to set a due date for the course or curriculum assignments created by your Assignment Rule.
You have two main options for setting Assignment Logic: Assign to new members or Scheduled assignment.
Assign to New Members
Selecting Assign to new members automatically assigns your course or curriculum to any users who match the criteria you defined in step one. See below for an example.
Example - New Users
- An Assignment Rule is created to assign an onboarding course to all users in the New Hires audience.
- A new employee joins your organization. To get them started, a new user account is created for the employee and added to the New Hires audience.
- Based on the existing Assignment Rule, the new employee's user account is automatically assigned to the onboarding course.
You can also assign your course using this logic to any existing users who do not already have the course or curriculum assigned to them.
This can be done by selecting the checkbox next to Also assign to anyone in the group who has not received courses via this rule. See below for an example.
Example - Existing Users
- A new onboarding course has just been created and is ready to be assigned to the New Hire audience using an Assignment Rule.
- The New Hire audience already contains three existing user accounts that need the course assigned to them.
- By selecting the checkbox next to Also assign to anyone in the group who has not received courses via this rule, all existing users in the New Hire audience will automatically be assigned to the course (in addition to all users added to the New Hire audience in the future).
Scheduled Assignment
A scheduled assignment assigns the courses or curriculum to everyone in the group on a specified date and time.
Set a Due Date
You can set a due date in either the Assign to new members or the Scheduled assignment sections. If a due date is entered, it will be specified in terms of the number of days following the assignment.
For example, if the due date is set to 30 days, a new user assigned to a course or curriculum will have 30 days to complete the assignment.
You can also choose not to include a due date by selecting the checkbox labeled No due date.
Step Three: Choose Courses or Curriculum to Assign
The last step in creating an Assignment Rule is selecting the existing courses or curriculum to be assigned to the users defined in the earlier steps.
When you are finished selecting your courses or curriculum, click Save and Activate to enable the rule.
Once a rule is activated, it will continue to assign courses or curriculum to anyone who matches the rule criteria. A rule can be deactivated or deleted at any time.
If an assignment rule is deactivated or deleted, it does not remove any assignments that were made by the rule. In order to remove assignments, you must use the Course / Curriculum Detail Page Assignment Activity Log in Habitat.
Manual Course or Curriculum Assignments
Typically, assignments are created using the Assignment Rules described above. Using Assignment Rules is recommended as a best practice for assigning Learning Pathways courses.
As an alternative, Manual Assignments allows Habitat users with access to the Courses tab to directly assign a single published course or curriculum to up to 1500 users simultaneously using user attributes or a user list.
How to Assign a Course or Curriculum Manually
- Navigate to the Courses tab in Habitat.
- Select the name of the Course or Curriculum you want to assign to users.

Click Assign Manually in the top-right of the Course / Curriculum Details page.

On the assignment page, navigate to the Create User List section to define the users to be assigned the course or curriculum.
purple This can be done via existing user attributes or by selecting individual user accounts.
- Selecting the checkbox next to Re-assign courses to users who have already completed or been assigned any of the courses selected, will re-assign the course or curriculum to users who have already received an assignment in the past.
- Click Assign Course / Curriculum to complete the manual assignment. All designated users will receive this course under the Training tab as an Active Course / Curriculum.
Notifications
If enabled for your organization, learners and managers can receive notifications for new course assignments, courses due soon, overdue courses, and completed courses.
There are three ways notifications can be delivered:
- In the Team Activity (for managers) and / or My Activity (for learners) sections of the
Home Page. - Via the Inkling native mobile application for iOS or Android .
- Via email to managers and / or learners with an email address.
