The Document Audience interface is visible only to administrators of Inkdocs that have been prepared for distribution to EchoInk readers. This interface enables you to grant or revoke access to all users, grant access to an Audience, or, in cases where no pre-existing Audience matches the desired ad hoc distribution for the specific Inkdoc, grant access only to specific users by setting a custom rule. A custom rule defines criteria that determine whether users receive the document.
Set Reading Access With a Custom Rule
-
Click Export and Distribute > Document Audience > Use custom rules.
Habitat shows the Add condition... dropdown.
- Click the Add condition... dropdown and select a condition.
-
Specify one or more users in the Use custom rules area. See Create custom rules below for more information.
-
Include specific users with Add specific users. Search by name or email and click to add the user.
- Click Grant Access here, then click it again on the confirmation window.
The Grant Access button changes from blue to gray to indicate the rules are saved. If the Inkdoc has been published, Habitat immediately adds the most recent published version to the Inkling library for all users who meet the access criteria. - Check the rules. Confirm with users that the Inkdoc displays in their Inkling library.
Create Custom Rules
The Use custom rules area provides these options:
- AND means a user must have one and the other attribute. Click the Add condition... dropdown under the newly created condition to add an AND condition to a rule set.
- OR means people can meet the requirements of one rule set or another rule set and still belong to the custom audience. Click Add another set of users to add an OR condition and create complex rule sets.
-
Condition
<attribute>IS<value>means people who match the specified attribute value will belong to the rule. -
Condition
<attribute>IS NOT<value>means people who match the specified attribute value will not be part of the rule. - Click the X icon to delete a rule.
Examples
Use a single custom rule to specify based on location:
Condition location IS NYC
Use a rule set of two conditions to grant access to an Inkdoc based on job title and location:
Condition job title IS Manager AND Condition location IS NYC
Though this example uses only two conditions, you can create rule sets with multiple conditions.
Use OR to link multiple rule sets together. This example grants all managers in New York or California access to an Inkdoc.
Condition job title IS Manager AND location IS NY
OR
Condition job title IS Manager AND location IS CA
Though this example uses only one OR condition, you can create rule sets with multiple OR conditions.
The image below shows another example. Two separate groups of users are granted access to this Inkdoc:
- Assistant Managers who are located in Chicago.
- Editors and Recruiters who are located in New Jersey or New York City.
Remove a Custom Rule
- Click Export and Distribute > Document Audience.
- The window shows the current rules set for the Inkdoc. Click the X icon to delete a rule.
- Click Grant Access and confirm your selection.
- The page will now show all the current custom rules that are still present in the Inkdoc.
