A Collection is a group of related Inkdocs in the Library.
Examples include:
- Employee Policies and Procedures
- Operating Procedures
- Training Information
- User Guides
- Departments
Check with your administrator to see if your organization uses collections.
On the Library page, selecting a Collection displays the Inkdocs assigned to it. The Collections visible to each user depend on the content they have access to, so views may vary across individuals.
Your device’s language setting determines which Inkdocs are displayed across all sections. When a specific language is set, only Inkdocs published in that language appear. If no Inkdocs are available in the selected language, content from all languages is displayed.
Collections are most effective when they simplify how learners find content. While organizations can create multiple Collections, the primary consideration should be usability. As a general guideline, keeping the total number of Collections to 20 or fewer helps maintain a clear, manageable experience. This is not a strict limit, but exceeding it should only be done when it improves organization and does not make navigation more complex.
In practice, fewer, well-structured Collections are easier to use than many highly specific ones. Grouping related Inkdocs into broader categories, such as by topic, role, or function, helps learners quickly find information. Collections that contain multiple relevant Inkdocs are typically more effective than those with only one or two items, which can make the Library feel fragmented.
Because users only see Collections tied to accessible Inkdocs, each learner’s experience is naturally scoped. However, maintaining a clean, consistent structure at the organizational level remains important. Using clear, descriptive names and avoiding overlapping or redundant Collections helps ensure content remains easy to navigate over time.
