EchoVideo offers two types of Content policies for Institutional Admins: archive and deletion. The archive policy lets you set a time range of 6 to 24 months where all media not viewed within that time frame is archived. The deletion policy lets you set a time range of 1 week to 12 months where all media will be hard deleted after the initial soft delete. Content Polices run once a week.
These customizable content policies give each institution the flexibility to decide the content policies that work best for them.
Archive Policy
Regardless of your Deletion Policy, Archived content is never deleted. Archived content is instead moved to cold storage and kept there indefinitely.
- Log into EchoVideo as an Institutional Administrator.
- Click the Settings icon and select Institution Settings.
General settings appears and Basic Info is selected by default.
- Choose Content Policies from the middle panel.
- Enable the Archive Policy toggle (it is disabled by default), as shown in the figure below.
- Optionally, click the Pencil icon to edit the archive policy.
- From the dropdown, select a time range of 6 months to 24 months.
The default time range is 13 months.
- Click Save.
Archived content can be reviewed and restored, and content is fully restored exactly as is, previous to the archive. Archived content never gets deleted, it just gets moved to cold storage.
Additionally, admins can grant users permission to unarchive their own content. Enable the Allow Users to Unarchive Content toggle (it is disabled by default), as shown in the figure below.
Deletion Policy
- Log into EchoVideo as an Institutional Administrator.
- Click the Settings icon and select Institution Settings.
General settings appears and Basic Info is selected by default.
- Choose Content Policies from the middle panel.
- Enable the Deletion Policy toggle (it is disabled by default), as shown in the figure below.
- Optionally, click the Pencil icon to edit the deletion policy.
- From the dropdown, select a time range of 1 week to 12 months.
The default time range is 3 months.
- Click Save.
Soft deleted content can be reviewed and restored for a set amount of time based on the Institution's policy. Content is fully restored exactly as it was previous to the soft delete.
When content is archived or deleted, any links, embeds, class/lesson associations, analytics, etc., will not be available. These things will be available again once the content has been restored.
Archived and soft deleted content can be reviewed and restored from the Recycle Bin. Restoration time will depend on the number of files and their sizes.
What content can be archived and soft-deleted?
Currently, only playable media can be archived and soft deleted. This includes:
- Audio
- Video
- Interactive Media
- 360˚ Video
Presentations and Polls are not able to be archived or soft-deleted. This means that if one is accidentally deleted, it will not appear or be recoverable from the Recycle Bin.
