This article will detail how best to organize and find your assets in the Content Manager. Currently the best way to group your content is by using tagging. Tags allow you to indicate which assets should be grouped together and to easily find those assets in the future.
NOTE: Folders and permissions are on the product roadmap!
For this example, let’s say we want to group all assets to be used for a course project with the tag “ProjectX”.
You can:
- Tag individual assets
- Tag groups of assets in a batch
- Find those assets using the tag
Tag Individual Assets
1. Click the Tag icon of the selected media asset or widget.
The Add Tag dialog displays.
4. Enter text to add the tag “ProjectX” and press Enter.
5. Repeat Step 4 to add additional tags.You can also use Google AI to auto tag (but this will use whatever tags the AI identifies, so this isn’t as useful for organization).
6. Once you have finished adding tags, click the Add button. The tags are added to the saved information about the asset and the Add Tags dialog closes.
7. You can view an asset’s tags by clicking on an asset, then clicking on the “i” Info button in the upper right corner and expanding the Tags section.
8. From here, you can also click on the Edit Tags button to add or remove tags.
Tag Groups of Assets (Batch Tagging)
1. From the Content Manager, select multiple assets.
- For contiguous assets, click the first one, hold the SHIFT key down and then select the last asset.
- For non-contiguous assets, hold down the CTRL key and then click on each desired asset.
- Drag your mouse to select multiple assets.
Once you have selected multiple assets, three icons appear at the bottom of the window. Select the Tag icon.
2. The Batch Tags dialog displays. You can enter a tag(s) to apply to all selected assets at the top (it will auto suggest existing tags as you type). Click Add to apply the tag. You can also tag individual assets from this screen.
3. Once the batch tag has been added, you can always modify or remove the tags from individual assets as desired.
Find your Assets
Once you’ve organized your content by tagging it, you’ll want to be able to find that content in the future. It’s easy to search by tags.
1. In the search bar at the top right, simply enter the tag you’d like to find. The system will auto-suggest existing tags as you type.
2. When you hit enter, it will show all assets tagged with that term. You can add additional search terms or tags to continue to filter the results.
PRO-TIP: Since you can search by multiple tags, you can further sort your content by using more than one tag to organize your assets. For example, you could use two tags if your Project X has multiple chapters - use the tag “ProjectX” for all assets, and then add an additional tag for further sorting by chapters (tag with “Chapter1”, “Chapter2”, etc).
