Who Can Do This?
Only collection managers (and Echo360 administrators) can control collection membership, including accessing and activating a collection enrollment link for users to add themselves as members.
There are two ways to add users to a collection:
- Manually adding users and assigning permissions (if appropriate)
- Providing a link to the collection, allowing users to click it and add themselves
When users add themselves via a link, they are granted Reviewer Access Level by default (they can view the media in the collection). You can change any member's collection permissions later if necessary.
Using a Link To Add Collection Members
Each collection comes with the ability to activate and send out a public link for the collection. Any existing Echo360 user who clicks the link is automatically added to the collection as a member. Furthermore, all members added via the link have Reviewer access level to the collection. This means they can view the media added to the collection, but cannot add or remove media to the collection. You (or any manager) can change these permissions for individual members as needed.
Users MUST already be registered Echo360 users in order to use the link to be added to a collection. Collection links do not allow for user registration into the system.
IMPORTANT: LMS/VLE users typically do not have direct logins to Echo360; in order to view an authenticated link, users must already be authenticated into Echo360 or they will be faced with a Login window. In order to authenticate, users should pass into Echo360 from an LMS course (using an Echo360 course link or a Library link for example), then click the link to the collection. Alternately if your institution uses SSO or Single-Sign-On (users log in through an institution portal) they may need to authenticate there first, prior to clicking the collection enrollment link.
Finally, as a Collection manager, you (or an Admin) can enable or disable the link at any time (it is disabled by default). When the link is disabled, the link URL will not work, even for users who are already members of the collection. Any user who clicks the link will receive a page indicating that the link has been disabled. If you want to post a URL for the collection for existing members to access it, enter the collection and copy the URL from your browser's address bar.
To activate and use the collection enrollment link
- From either the Collections page or your Library, click on a collection tile to open it.
- Click the Membership tab, identified in the below figure.
- Scroll down to the bottom of the members list to find the Auto Enroll Link identified in the below figure.
The link already exists for the collection but is inactive and cannot be used to enroll members until you activate it.
- Toggle the Enable Link to the right, as indicated in the below figure. This activates the Copy button to the right of the URL box, also identified below.
- Click Copy.
- Open the location you want to post the link for access by others (email, document, webpage, announcement, etc) and paste the copied link using ctrl+v or command+v, or right-click + Paste.
Users who click the link will need to log into Echo360 or need to already be authenticated through the LMS or SSO system, in order to follow it and become a collection member. The link will not log users in; it will present them with a login page if they do not have an active Echo360 session currently.
Once they click the link, they are added to the Collection as a member with Reviewer permissions (they can view the media in the collection, but perform no other actions). A new link-added member is shown in the collection membership list below. As needed, you can change member permissions after they have been added to the collection.
To DISABLE the enrollment link, simply toggle the Enable Link switch back to the off position (to the left). Users who follow the link will be presented with a page indicating that the link has been deactivated. Members who want to bookmark the collection can do so using the URL in their browser address bar after they've entered the collection.
