EchoVideo offers two types of Content Policies for Institutional Admins: archive and deletion. The Content Policies control the weekly automatic transition of content across your Institution. Both policies are OFF by default and must be enabled manually. These customizable policies allow each institution to decide what works best for them.
The Archive policy lets you pick your automatic archive criteria (either the last viewed date or creation date) and then set a time range relevant to the selected criteria. Once the time range has passed, content will automatically transition to become archived.
You must view at least one full 30-second video segment to reset the archive clock. This applies to the V1 and V2 players and the MDP, Classroom, and Embed players.
The Deletion policy lets you set the time range within which soft-deleted ("trashed") content is kept before it is permanently deleted. Soft-deleted content will be stored indefinitely if the deletion policy is not enabled.
Archived and soft-deleted content can be reviewed and restored from the Recycle Bin. Restoration time will depend on the number of files and their sizes. When content is archived or deleted, links, embeds, class / lesson associations, analytics, etc., will not be available. These associations are saved and will be available once the content is restored.
Archive Policy
Archived content is never deleted and is instead moved to cold storage to be kept there indefinitely.
- Log into EchoVideo as an Institution Administrator.
- Click the Settings icon and select Institution Settings.
General settings appears and Basic Info is selected by default.
- Choose Content Policies from the middle panel.
- Enable the Archive Policy toggle (disabled by default), as shown in the figure below.
- Optionally, click the Pencil icon to edit the archive policy.
- From the dropdown, select the criteria by which you want content to be archived.
- Creation Date: time range of 6 months to 10 years. The default time range is 12 months.
- Last Viewed: time range of 6 months to 24 months. The default time range is 13 months.
- Creation Date: time range of 6 months to 10 years. The default time range is 12 months.
- Click Save.
Archived content can be reviewed and restored, and content is fully restored as is, previous to the archive. The created date is not reset, and the content is in a protected state and won't be archived automatically again.
Additionally, admins can permit users to unarchive their content. Enable the Allow Users to Unarchive Content toggle (it is disabled by default), as shown in the figure below.
Deletion Policy
Soft-deleted content will be stored indefinitely if the Deletion policy is not enabled.
- Log into EchoVideo as an Institution Administrator.
- Click the Settings icon and select Institution Settings.
General settings appears and Basic Info is selected by default.
- Choose Content Policies from the middle panel.
- Enable the Deletion Policy toggle (it is disabled by default), as shown in the figure below.
- Optionally, click the Pencil icon to edit the deletion policy.
- Select a time range from 1 week to 12 months from the dropdown.
The default time range is 3 months.
- Click Save.
Soft-deleted content can be reviewed and restored for the time set by the Deletion policy. The content is fully restored exactly as it was before the soft-delete.
What content can be archived and soft-deleted?
Currently, only playable media can be archived and soft-deleted. This includes:
- Audio
- Video
- Interactive Media
- Spherical (360˚) Video
Presentations and Polls cannot be archived or soft-deleted. If one is accidentally deleted, it will not appear in the Recycle Bin and cannot be recovered.
